How to Handle Cash and Electronic Payments Correctly

Handling cash and electronic payments is a key part of working as a retail sales assistant. You must be careful and accurate to make sure each transaction is smooth and correct. Customers expect fast service and clear communication when paying, so understanding how to handle both forms of payment is important.

When a customer pays with cash, first count the money carefully. Check the notes and coins to ensure they are real and in good condition. Give the right change back using the till drawer. Always count the change out loud in front of the customer to avoid confusion. Hand the money and receipt politely.

Electronic payments include debit cards, credit cards, and mobile money apps. When a customer pays this way, enter the right amount in the Point of Sale (POS) system. Ask the customer to swipe, insert, or tap their card on the card machine. For mobile payments, confirm they use the correct app and follow the prompts.

Wait for the transaction to be approved before handing over goods or receipts. If the transaction is declined, stay calm and politely ask the customer to try again or use another payment method. Always keep the customer informed during the process.

Steps to Handle Payments Efficiently

  1. Greet the customer and scan items.
  2. Confirm the total amount due.
  3. Ask the customer for payment method.
  4. If cash, count the money and check for counterfeit notes.
  5. If electronic, enter the exact amount into POS and guide the customer.
  6. Approve the payment and give the receipt.
  7. Return change if needed, counting it aloud.
  8. Thank the customer politely.

Good cash handling includes keeping the till organised. Avoid mixing old and new notes to spot fake money easily. Report any suspicious notes to your manager. For electronic payments, keep the card machine clean and connected to avoid errors.
