How to Make Sure Your Invoices Are Correct

Creating accurate invoices is a key skill for any credit controller. An invoice is a document that tells your customer how much they owe for goods or services. If the invoice is wrong, it can cause delays in payment or disputes. That is why accuracy matters.

First, always check that the customer’s details are correct. This means the company name, address, and contact person. Any mistake here can lead to the invoice being ignored or lost. Make sure the invoice number is unique so it can be tracked easily.

Next, list the products or services clearly. Include the correct descriptions, quantities, prices, and any discounts. Use your price list or contract to avoid errors. If VAT applies, show it separately and calculate it properly. Remember that South African VAT is currently 15%.

Dates are important too. Include the invoice date and payment due date. The due date tells the customer when you expect payment. It should follow your credit terms, such as 30 days from the invoice date. Without this, customers may delay paying.

Steps to Follow When Creating Your Invoice

  1. Gather all necessary information from sales orders or delivery notes.
  2. Double-check customer details and invoice number.
  3. Enter item descriptions, quantities, and unit prices correctly.
  4. Calculate subtotal, VAT, and total carefully.
  5. Include invoice date and payment terms clearly.
  6. Review the invoice to spot any mistakes before sending.

Always keep a copy of each invoice for your records. This helps with tracking payments and resolving disputes. When sending the invoice, use reliable methods such as email or registered post. Make sure the customer receives it quickly.

In case you find a mistake after sending, act fast. Issue a corrected invoice or credit note. Communicate with the customer to avoid confusion and delayed payment.

By creating accurate invoices, you improve your chances of getting paid on time. It shows professionalism and helps build good customer relationships. Accuracy is not just about numbers but also clear communication.
