Job Overview:
The Receptionist is responsible for managing the front desk, greeting visitors, and providing general administrative support to ensure the smooth operation of the office. This role involves handling incoming calls, scheduling appointments, and directing inquiries to the appropriate departments. The ideal candidate will be friendly, organized, and able to multitask effectively in a busy environment.
Key Responsibilities:
Greet and welcome visitors in a professional and friendly manner, ensuring a positive first impression of the company.
Answer, screen, and forward incoming phone calls, taking messages as needed and directing calls to the appropriate personnel.
Manage the reception area, keeping it clean and organized, and ensuring a professional appearance at all times.
Handle incoming and outgoing mail, packages, and deliveries, ensuring they are processed promptly and accurately.
Schedule and coordinate appointments and meetings, maintaining calendars for staff and conference rooms.
Assist with general administrative tasks such as data entry, filing, photocopying, and maintaining office supplies.
Respond to inquiries, providing information about the company and its services or directing questions to the appropriate department.
Monitor and maintain office security by following safety procedures and controlling access via the reception desk.
Provide support to other departments as needed, including assisting with special projects and events.
Maintain confidentiality and handle sensitive information with discretion and professionalism.
Requirements:
Education: Grade 12.
Experience: Previous experience as a receptionist, front office representative, or in a similar role preferred but not required.
Skills: Excellent verbal and written communication skills; strong organizational and multitasking abilities; proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (e.g., fax machines, printers); ability to maintain a positive and professional demeanor.
Personal attributes: Friendly, reliable, and customer service-oriented with a positive attitude and ability to handle a fast-paced environment.
