Job Description:
The Office Manager is responsible for overseeing the daily operations of the office to ensure a productive and efficient work environment. This role involves managing office supplies, coordinating administrative functions, supporting staff, and ensuring that office procedures and policies are followed. The ideal candidate will have strong leadership, organizational, and multitasking skills.
Responsibilities:
Office Operations: Oversee and manage daily office operations, including office supplies, equipment maintenance, and facility management. Ensure the office environment is organized and conducive to productivity.
Administrative Support: Provide administrative support to senior management and staff. This includes scheduling meetings, managing calendars, and coordinating travel arrangements.
Team Coordination: Supervise and support administrative staff, including hiring, training, and performance management. Assign tasks and monitor work to ensure efficiency and quality.
Financial Management: Manage office budgets, process invoices, and track expenses. Ensure cost-effective purchasing of office supplies and services.
Communication: Act as a liaison between departments and external stakeholders. Handle correspondence, prepare reports, and facilitate communication within the office.
Event Planning: Organize and coordinate office events, meetings, and team-building activities. Manage logistics such as venue arrangements, catering, and attendee coordination.
Process Improvement: Identify and implement improvements to office procedures and processes to enhance efficiency and effectiveness.
Compliance: Ensure that office operations comply with company policies and legal regulations. Maintain records and documentation as required.
Qualifications:
Education: Grade 12; associate’s or bachelor’s degree in business administration or related field preferred.
Experience: Proven experience in an office management or administrative role, with a minimum of 3-5 years of relevant experience.
Skills:
Strong leadership and management abilities.
Excellent organizational and multitasking skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
Effective communication and interpersonal skills.
Ability to handle confidential information with discretion.
