Job Summary:
We are seeking a dedicated and organized Office Assistant to join our team. The ideal candidate will support daily office operations by handling clerical duties, ensuring smooth office functioning, and assisting staff and clients with various administrative tasks. This role requires strong organizational skills, attention to detail, and the ability to multitask in a dynamic environment.
Responsibilities:
Perform general office duties such as filing, data entry, and handling correspondence
Answer and direct phone calls, emails, and inquiries in a professional manner
Greet visitors and provide them with the necessary information or assistance
Maintain office supplies and place orders when needed
Assist in scheduling meetings, appointments, and travel arrangements for staff
Help organize and maintain office documents, ensuring proper filing and storage
Assist with preparing reports, presentations, and other documents as required
Ensure the office is clean, organized, and properly equipped
Coordinate with other departments to ensure the smooth flow of office operations
Assist in handling petty cash and maintaining basic bookkeeping records
Requirements:
Grade 12 or equivalent qualification
Proven experience as an office assistant, administrator, or in a related role
Proficiency in MS Office (Word, Excel, Outlook, etc.)
Strong organizational skills and attention to detail
Excellent communication and interpersonal skills
Ability to multitask and prioritize tasks efficiently
Ability to work independently and as part of a team
Professional demeanor and appearance
