9.1 The system for distributing mails

The construction of a clear system, referred to as steps of mail handling, is required for efficient mail handling. These are the steps:

  • Receiving the mail.
  • Sorting through the mail
  • Opening of mails.
  • Examining the contents.
  • Stamping of dates.
  • Mail recording.
  • Distributing mails
  • Follow-up action.
  • Receiving of Mail

The mail is usually brought once or twice a day by the postman. A post box or post bag is rented in the post office when the volume of correspondence is high, and an office peon is necessary to collect the mail from the post office. Letters are occasionally delivered by messengers from other offices.
