As the Office Administrator you will be responsible for ensuring the smooth operation of office activities by performing administrative tasks, managing office supplies, coordinating meetings and appointments, and providing general support to the team. Closing date for this position is 24 July 2024.

  • Provide administrative support to ensure efficient operation of the office. This includes answering phones, routing calls, responding to emails, and managing correspondence.
  • Maintain office supplies inventory by checking stock, anticipating needs, placing orders, and verifying receipt of supplies. Ensure the office is clean, organized, and well-maintained.
  • Schedule and coordinate meetings, appointments, and travel arrangements for managers and employees. Prepare meeting agendas, take minutes, and distribute them as needed.
  • Maintain and update company databases, ensuring data accuracy and integrity. Handle confidential and sensitive information with discretion.
  • Prepare and edit documents, reports, and presentations. Manage both physical and digital filing systems to ensure documents are easily accessible and securely stored.
  • Greet visitors, answer inquiries, and provide excellent customer service. Act as a point of contact for clients and vendors.
  • Assist with basic accounting tasks such as invoicing, processing expenses, and managing petty cash. Coordinate with the finance department as needed.
  • Provide support on various projects and tasks as assigned by management. This may include research, data analysis, and project coordination.
  • Ensure office operations and procedures comply with company policies and legal regulations.
  • Grade 12.
  • Bachelor’s degree in business administration or a related field preferred.
  • Previous experience in office administration or a related role is preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and problem-solving skills.
  • Strong customer service orientation.
  • Basic understanding of accounting principles is a plus.
