Job Summary:
We are seeking a friendly, organized, and reliable Front Office Coordinator to manage the daily front office operations. The ideal candidate will handle customer inquiries, manage reception duties, and ensure smooth coordination between departments. This role requires excellent communication skills, multitasking abilities, and the capacity to maintain a professional and welcoming environment.
Responsibilities:
Greet and welcome visitors, clients, and staff professionally and courteously.
Answer and direct phone calls to appropriate departments or personnel.
Manage the reception area and ensure it is tidy, organized, and welcoming.
Handle incoming and outgoing mail, packages, and correspondence.
Coordinate scheduling for appointments, meetings, and room bookings.
Assist with administrative tasks such as filing, data entry, and document preparation.
Provide general information about company services and policies to visitors and clients.
Maintain office supplies and ensure the availability of essential items.
Manage customer inquiries and complaints, escalating issues to relevant departments as needed.
Support other departments with tasks like event planning and document distribution.
Ensure compliance with office procedures and handle confidential information appropriately.
Requirements:
Grade 12 or equivalent education.
Proven experience in front office coordination or customer service.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Professional demeanor and strong interpersonal skills.
Ability to maintain a high level of confidentiality and discretion.
Ability to work independently and manage multiple priorities in a fast-paced environment.
