We are looking for a Front Desk Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. The ideal candidate will have excellent communication skills, a friendly demeanor, and the ability to multitask effectively.

Responsibilities:

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen, and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, and brochures)
  • Provide basic and accurate information in person and via phone/email
  • Receive, sort, and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Order front office supplies and keep inventory of stock

Requirements:

Educational Requirements:

  • High school diploma or equivalent.
  • Additional qualifications such as a certificate in office administration or customer service can be advantageous.

Experience:

  • Prior experience in a receptionist, front office, or administrative role is preferred.
  • Experience in customer service or hospitality is beneficial.

Skills and Competencies:

  • Communication Skills: Excellent verbal and written communication skills; ability to interact professionally with clients and colleagues.
  • Interpersonal Skills: Friendly, approachable, and able to work well with a diverse range of people.
  • Organizational Skills: Strong organizational and multitasking abilities; able to manage time effectively.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment such as printers, scanners, and multi-line phone systems.
  • Problem-Solving: Ability to handle unexpected situations calmly and efficiently.
  • Attention to Detail: Keen eye for detail to ensure accuracy in administrative tasks and data entry.
  • Professionalism: Presentable and professional demeanor; reliable and punctual.
