Job Title: Executive Assistant

Job Summary:
We are looking for a proactive and highly organized Executive Assistant to support senior management and ensure smooth office operations. The ideal candidate will handle a variety of administrative tasks, manage schedules, coordinate meetings, and facilitate communication between the management team and other departments. This role requires excellent organizational skills, the ability to multitask, and discretion when handling sensitive information.

Responsibilities:
Provide high-level administrative support to senior management and executives
Manage and organize executive schedules, including meetings, appointments, and travel arrangements
Prepare reports, presentations, and documents for meetings and business activities
Handle confidential information with discretion and professionalism
Serve as a liaison between executives and internal/external stakeholders
Screen calls, emails, and other communications, redirecting or responding as needed
Organize and maintain office filing systems, ensuring easy retrieval of documents
Assist with the preparation and coordination of meetings, including setting up agendas, taking minutes, and following up on action items
Track and manage tasks, deadlines, and priorities for executives
Handle various administrative duties, including office supply management, office maintenance, and expense reporting
Assist in organizing company events and activities, including conferences and team-building exercises
Ensure smooth communication and collaboration between the executives and the rest of the team

Requirements:
Grade 12 or equivalent education; a diploma or degree in business administration is an advantage
Proven experience as an Executive Assistant or in a similar administrative role
Strong organizational and time-management skills, with the ability to multitask and prioritize effectively
Excellent verbal and written communication skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Ability to handle confidential and sensitive information with discretion
High attention to detail and accuracy in all tasks
Strong interpersonal skills and the ability to work independently or as part of a team
A proactive attitude, self-starter, and problem-solver
