Job Summary:
We are looking for an experienced and highly organized Administrative Specialist to manage office operations, streamline processes, and provide support to senior management and teams. The ideal candidate will handle various administrative tasks, ensure smooth office functioning, and contribute to the efficiency of day-to-day activities. This role requires strong organizational skills, attention to detail, and the ability to handle multiple responsibilities.
Responsibilities:
Coordinate office operations and manage daily administrative tasks.
Handle incoming and outgoing communication, including emails, phone calls, and mail.
Maintain and organize office files, both physical and electronic, ensuring easy access and compliance with data privacy policies.
Prepare reports, presentations, and documents for management and team meetings.
Schedule appointments, meetings, and conferences, and manage calendars for team members.
Assist with the preparation and execution of internal and external events.
Process invoices, purchase orders, and track office budgets.
Manage office supplies, place orders, and track inventory to ensure availability.
Monitor and maintain office equipment, ensuring regular maintenance and proper functionality.
Assist with employee onboarding and other human resources administrative duties as needed.
Perform general office management duties, including maintaining office cleanliness and safety.
Ensure compliance with company policies and contribute to improving operational efficiency.
Requirements:
Grade 12 or equivalent education.
Proven experience as an Administrative Specialist or in a similar administrative role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Ability to prioritize tasks and meet deadlines effectively.
Attention to detail and ability to maintain accurate records.
Strong problem-solving and decision-making skills.
Ability to work independently and as part of a team.
