Job Overview:
The HR Assistant provides essential administrative support to the Human Resources department, assisting with various HR functions such as recruitment, employee records management, payroll, and employee relations. The ideal candidate is highly organized, detail-oriented, and has strong communication skills, with the ability to handle sensitive information with confidentiality.
Key Responsibilities:
Recruitment Support: Assist in the recruitment process by posting job ads, screening resumes, scheduling interviews, and conducting reference checks.
Employee Onboarding: Prepare new hire paperwork, assist with orientation sessions, and ensure that all necessary documentation is completed and filed.
Records Management: Maintain accurate and up-to-date employee records, including personal information, job histories, and performance reviews, both physically and electronically.
Payroll Assistance: Support the payroll process by collecting and verifying timekeeping information, preparing payroll reports, and addressing any payroll-related queries.
Benefits Administration: Assist employees with benefit enrollments, changes, and inquiries, and help with the administration of employee benefits programs.
Employee Relations: Provide general support to employees regarding HR policies and procedures, answering questions, and resolving issues in a timely manner.
Compliance: Ensure that all HR activities comply with local, state, and federal regulations, and assist in maintaining compliance with company policies.
Event Coordination: Help organize and coordinate employee events, training sessions, and other HR-related activities.
HR Reporting: Prepare HR-related reports, such as attendance, turnover, and employee satisfaction surveys, and present findings to HR management.
General Administrative Support: Perform various administrative tasks such as filing, photocopying, scanning, and handling correspondence.
Qualifications:
Education: Grade 12 or equivalent required; an associate degree or certification in Human Resources or a related field is a plus.
Experience: Previous experience in an administrative or HR support role is preferred.
Skills:
Strong organizational and time-management skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Excellent written and verbal communication skills.
Ability to handle confidential information with discretion.
Attention to detail and accuracy in record-keeping and data entry.
Ability to work independently and as part of a team.
