Job Overview:
The Executive Assistant will support the team, managing both day-to-day activities and long-term projects. The ideal candidate is highly organized, proactive, and capable of handling confidential information with discretion. They will coordinate schedules, manage communications, and facilitate the executive’s ability to lead the organization efficiently.
Key Responsibilities:
Calendar Management: Maintain and coordinate the executive’s schedule, ensuring efficient time management and prioritization of meetings, appointments, and events.
Communication: Serve as the primary point of contact for internal and external communications, including managing emails, phone calls, and correspondence.
Meeting Preparation: Organize and prepare materials for meetings, including agendas, presentations, and follow-up tasks.
Travel Coordination: Arrange travel itineraries, accommodations, and logistics for domestic and international trips.
Project Management: Assist in the planning and execution of special projects, tracking progress, and ensuring timely completion.
Document Management: Draft, edit, and manage documentation such as reports, presentations, and contracts.
Office Management: Oversee office supplies, equipment, and any necessary repairs or maintenance.
Confidentiality: Handle sensitive information with the highest level of discretion and confidentiality.
Task Prioritization: Identify and prioritize tasks that require the executive’s immediate attention and delegate or manage others as appropriate.
Relationship Management: Build and maintain strong relationships with key stakeholders, both internally and externally.
Event Planning: Coordinate and manage events such as meetings, conferences, and team-building activities.
Qualifications:
Education: Grade 12. Bachelor’s degree in Business Administration or related field preferred.
Experience: Minimum of 2 years of experience in an executive assistant or similar role.
Skills:
Excellent organizational and time-management skills.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to work independently and as part of a team.
High level of discretion and professionalism.
Strong problem-solving abilities and attention to detail.
Work Environment:
This role may require occasional travel and after-hours work.
The position is based in an office setting with standard working hours, though flexibility may be required.
Preferred Qualifications:
Advanced Software Skills: Experience with project management tools, CRM systems, and video conferencing platforms (e.g., Zoom, Microsoft Teams).
Language Proficiency: Bilingual or multilingual capabilities can be an asset, especially if the executive interacts with international clients or partners.
Industry Knowledge: Familiarity with the industry in which the executive operates, providing better context for decision-making and communication.

Proactive Mindset: Ability to anticipate the executive’s needs and take initiative in addressing them.
Adaptability: Comfort in working in a fast-paced environment with frequent changes and the ability to juggle multiple priorities.
