Job Description:
The Administrative Coordinator is responsible for overseeing and managing various administrative functions within the organization. This role involves coordinating office operations, supporting staff, and ensuring efficient administrative processes. The ideal candidate will have strong organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment.
Responsibilities:
Office Management: Oversee daily office operations, including managing office supplies, equipment, and facilities. Ensure a clean and organized work environment.
Administrative Support: Provide administrative support to senior management and other departments. This includes scheduling meetings, managing calendars, and coordinating travel arrangements.
Communication: Serve as a point of contact for internal and external communications. Handle correspondence, prepare reports, and draft documents as needed.
Project Coordination: Assist with project management tasks, including tracking project progress, coordinating with team members, and preparing project documentation.
Event Planning: Organize and coordinate company events, meetings, and training sessions. Manage logistics, including venue arrangements, catering, and attendee communications.
Data Management: Maintain and update office records and databases. Ensure data accuracy and confidentiality.
Process Improvement: Identify and implement improvements to administrative processes and procedures to enhance efficiency and effectiveness.
Support Staff: Provide support to other administrative staff and assist with training new employees as needed.
Qualifications:
Education: Grade 12; associate’s or bachelor’s degree in business administration or related field preferred.
Experience: Proven experience in an administrative role, with a minimum of 2-3 years of relevant experience.
Skills:
Strong organizational and multitasking abilities.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
Ability to handle confidential information with discretion.
Strong problem-solving skills and attention to detail.
